Sales & Marketing Department Assistant
Contract to Hire: 
6 months
Onsite: Kansas City, MO

Must Haves:
  • High School degree or equivalent
  • Minimum (2) years office, clerical, reception experience
  • Knowledge of Microsoft Applications Outlook, Teams, Word, Excel
  • Some college coursework

Job Summary/Description:

The Sales & Marketing Department Assistant will provide general administrative, office support to a specific department.
  • Assist in Sales & Marketing Team Meetings and other PowerPoint presentations.
  • Assist in Conference & Event planning and coordination
  • Answer phones and direct calls.
  • Read and sort incoming mail and packages.
  • Process sponsorship, client gifting, and other various invoices.
  • Type memos, correspondence, reports, PowerPoint presentations and other documents where applicable for internal and external use.
  • Make travel arrangements for key client meetings, dinner events as needed.
  • Complete weekly expense reports to support Sales/Bus Dev team leads.
  • Assist with ordering company tickets for events, concerts, sports games, etc.
  • Assist with dinner reservations for client event, conference, and internal needs
  • Assist with Microsoft Teams folder set-up and management, Open Asset uploads and content management, and more as needed.
  • Prepare outgoing mailings, including conference & event shipments.
  • Organize and maintain electronic filing system.
  • Coordinate onsite client or vendor lunches, including set-up and clean-up.
  • Reserve conference rooms for internal and external meetings.
  • Coordinate with internal support departments.
  • Order and maintain office supplies.
  • Assist with ordering conference giveaways and client gifts.
  • Arrange equipment maintenance or set-up.
  • Keep the department calendar and roster.
  • Help coordinate clerical/administrative needs of special projects.
  • Occasional proposal assistance – resumes, org charts, proofreading, formatting, printing hard copies, etc.
  • All other duties as assigned.
