Job Description

Seeking an enthusiastic professional to join our team in a receptionist role in our Madison office. The right candidate should demonstrate resourcefulness and initiative, a desire to forge powerful relationships, hone their skills and deliver excellent work to advance their career.

Responsibilities:
  • Answer incoming telephone calls in a professional and courteous manner. Timely route calls to appropriate party, or take accurate telephone messages, as per firm policy.
  • Acknowledge visitors on their arrival. Announce them to respective attorneys or staff in a timely manner.
  • Maintain the neatness of the reception area, conference rooms and all client areas.
  • Maintain computer reservation schedule for conference rooms, visitors, and other resources as instructed.
  • Validate client parking tickets. Record visitor names in log.
  • Coordinate small and large office luncheons, catering needs and other in-office events as needed.
  • Prepare and distribute electronic daily bulletin to Madison Office.
  • Support legal secretaries with special projects.
  • Support Accounts Payable duties for the Office Administrator.
  • Assist legal secretaries preparing, proofreading and revising legal documents. Support firmwide projects as assigned.
  • Opportunities to learn e-Filing in state, federal and appellate courts.
  • Maintain confidential information, files, records, legal documents, and reports.
  • Other duties as assigned.
Qualifications:
  • Minimum 2-5 years of professional office experience preferred.
  • Punctuality is critical for this position.
  • Possess a positive attitude, be proactive, flexible and a team player.
  • Prefer experience with technical skills including working knowledge of MS Office and Adobe Professional, Aderant Expert and PACER/CM/ECF.
  • Must be detailed oriented, with excellent grammar and spelling skills.
  • Possess strong organizational, communication and client services abilities.
  • Ability to prioritize needs based on urgency, multi-task and work in a fast-paced team-orientated environment.
  • Ability to work overtime, when needed.
