6 month contract – $30-$35 hourly
On-site – Chicago, IL
Work Hours: This role requires being in the office from 8 AM to 5 PM, Monday to Friday, with availability for special events outside of working hours.
Qualifications:
Must Have:
  • 1-3 years of administrative or office experience working with C-suite level relationships
  • Previous experience working in a start-up environment
  • High School Diploma or equivalent
Plus:
  • Experience in a Tech startup environment.
  • college coursework or equivalent experience in a related area
  • Experience with gSuite
Role Overview: As the Office Lead, you will manage all aspects of the office and assist other US offices as needed. This role is a 6-month contractor position with the possibility of extension. You will be a dynamic, customer service-focused individual who works efficiently, pays attention to detail, and excels in all tasks related to Workplace and Facilities.
Key Responsibilities:
  • Greeter: Be the face of the company in the office, greeting guests and employees.
  • Office Maintenance: Maintain office appearance, coordinate meeting setups, and anticipate office needs.
  • New Hire Orientation: Welcome new hires, serve as the first point of contact, and lead orientation sessions when necessary.
  • Badge Program Management: Manage and coordinate the office badge program (WeWork).
  • Lunch Program Coordination: Oversee the lunch program, handling access and inquiries.
  • Snack Program Management: Manage the onsite snack program and vendor relationships, auditing order slips and invoices.
  • WeWork Liaison: Act as the liaison with the WeWork Community team for company related issues.
  • Facilities Inquiries: Respond quickly and efficiently to all facilities inquiries and request tickets, ensuring timely and quality service delivery. Follow up with employees to ensure complete satisfaction.
  • Team Collaboration: Work with the Manager to coordinate requests and escalate issues as needed.
  • Mailing and Shipping: Manage inbound and outbound mailing and shipping as needed.
  • Employee Experience Events: Be a point of contact for Employee Experience events, including coordination for other US sites as needed, and participate in Culture Club meetings.
  • Administrative Duties: Perform other general administrative and project management duties as assigned.
  • Office Seat Planning: Assist in office seat planning.
