Temp - 3 months
Morristown, NJ
Pay Range: $28.00-$30.00/hr
Must Haves:
  • HS Diploma/GED
  • Strong Administrative Experience, prefer HR related experience
  • Strong Written and Verbal Communication Skills
  • Proficient with PeopleSoft
  • Associate's Degree
  • HR Experience
Job Summary:

The Onboarding Assistant will provide support to the HR Department through the responsibilities outlined below:
  • Review or create residents’ profiles in ICIMS. 
  • Create residents’ jobs in ICIMS.
  • Assign new employee ID#’s to residents or review PeopleSoft for existing employee ID number, if it’s a rehired employee.
  • Update HR & OMS residency shared spreadsheets with the assigned employee ID#’s.
  • Send residents’ HR pre-boarding portal via email through ICIMS database, for the completion of the HR paperwork.
  • Monitor and review completed HR/ICIMS paperwork.
  • Submit residents’ profile data through ICIMS to the HRTECH team for PeopleSoft system upload.
  • Submit background check requests through ICIMS database to background vendor (A-Check Global).
  • Monitor and review the completed background reports, upload copy of report to ICIMS and update ICIMS and spreadsheet.
  • Notify Physician Onboarding Team on any issues that arises with the resident onboarding process.
  • Send confirmation email through ICIMS to residents regarding the scheduled HR appointment.
  • Meet with Residents to complete HR I-9 ID verification process. Review original ID documents to ensure photo and bio data matches with the copies uploaded to the ICIMS database.
  • Complete I9 Verification process through Lookout services E-verify system.
  • Monitor the completion of the Occupational Medicine medical clearance process and update ICIMS and spreadsheet.
  • Review all documents and paperwork to ensure a complete file for employment clearance.
  • Previous HR experience preferred
  • HS Diploma/GED, Associates Degree preferred
