Job Description

The Grants Officer performs pre-award functions including, but not limited to review and sign-off on fellowship proposals and related correspondence.  Works directly with Postdocs, and Lab administrators in all aspects of the fellowship submission process.  Serves as lead contact assisting with pre- and post-award activities for Institute Postdoctoral Fellowships, with emphasis on non-financial aspects of the fellowships. Specializes in regulatory requirements of funding agencies including Responsible Conduct of Research Compliance, grants database administration and training, and other related matters. Has primary responsibility for promoting best practices in lab administration awareness among Institute staff, and for maintaining currency with electronic research administration needs and spearheading Institute responses.  Is responsible for communicating Institute and federal policies and procedures to research support staff and Principal Investigators, and the implementation of these policies.

  • Serves as a resource to postdocs and staff to meet research administration goals and objectives while complying with Institute, federal, state, and sponsor rules and regulations.
  • Aids Whitehead postdocs and laboratory administrators to identify potential funding opportunities and in all aspects of proposal preparation
  • Reviews pre-award fellowship submissions. Involved in planning and organization of submissions, communication with funding agencies and support to ensure compliance with all submissions.
  • Officially signs and electronically submits fellowship applications to external sponsors on behalf of the Institute.
  • Serves as liaison with external funding agency on fellowship-related administrative issues throughout the proposal submission and award acceptance processes.  Reviews terms and conditions of awards for acceptability and compliance with applicable institutional policies and guidelines; negotiates terms with sponsors as needed.
  • Prepares award set-up checklists for fellowships for data entry of award information into Lawson and Cayuse.
  • Completes set-up of new/continuing awards in Cayuse.
  • Prepares award report on a monthly basis and distributes to the appropriate people. 
  • Responsible for the administration of the Director’s Fellowship Allowance program in conjunction with Director’s Office staff.
  • Fosters collaborative relationships with Lab Administrators and personnel from relevant central administrative offices, such as Research Finance and Intellectual Property.
  • Implements written policies and procedures pertaining to the preparation and submission of fellowships to external sponsors.
  • Contributes to the management of the day-to-day operations of the Office of Sponsored Programs’ database Cayuse.
  • Identifies and resolves technical and functional problems of Cayuse.
  • Actively participates in local and national professional organizations and user groups to keep abreast of new functional developments and technology.
  • In addition to the above job responsibilities, other duties may be assigned.

  • Bachelors degree in a related field.
  • At least 2 years of grant and contract experience with federal grant policies and procedures and working knowledge of federal regulatory environment.  
  • Applicants must understand sponsor requirements, Uniform Guidance and be able to interpret guidelines for Postdocs and project staff with a variety of levels of experience with grants administration.
