Boston

Hybrid - onsite 3-4 days/week

Must-Haves
 
At least 3 years in a role as an executive assistant supporting C-Suite 

Exceptional interpersonal skills, working with senior executives, C-suite, stakeholders.

Demonstrate the ability to work independently, prioritize tasks, and meet deadlines.

Ability to manage and contribute to projects

Hybrid:  3 to 4 days onsite

Preference is 5+ Years experience as an EA supporting C-suite

As an Executive Assistant, you will play a pivotal role in orchestrating complex administrative tasks. Your expertise will be central in supporting fiscal and administrative projects. In this role, you'll be responsible for the full spectrum of office operations, including preparing engaging presentations, managing critical scheduling, and maintaining an efficient workflow.
 
As our go-to expert, you'll be responsible for maintaining a keen eye on the department budget, ensuring fiscal efficiency and smooth operations. Your in-depth knowledge of department policies and procedures will be crucial in maintaining a well-oiled machine. Schedule: Full-Time, Hybrid work schedule
 
What You'll Be Doing:


 
Administrative Excellence: Prepare presentations, spreadsheets, charts, and essential correspondence.

Master of Scheduling: Efficiently manage calendars and scheduling for multiple executives.

Office Expert: Keep office inventory fully stocked, streamline supply orders, and set up conference rooms.

Effective Communications: Take meeting minutes, sort and distribute mail, and respond to inquiries with professionalism.  Triage and route calls, maintaining discretion with sensitive information.

Database Guru: Keep our contract database up to date, ensuring nothing falls through the cracks.

Personnel Pro: Assist in new hire processing and related personnel matters.

Minimum Job Requirements:
 
Minimum Education:
 
A Bachelor's Degree is preferred or;
 
High School with an equivalent combination of training and experience.
 
Minimum Experience:  At least 3 years in a role as an executive assistant or a comparable administrative position.
 
Preferred Qualifications: 5 years’ experience supporting C-suite in a fast pace healthcare setting or in a consultant firm is preferred.

Organized Operator: Show off your record-keeping and office organizational skills. Computer literacy is a must for handling statistical data, creating schedules, and maintaining comprehensive records.

Problem-Solving Pro: Take the initiative to anticipate and tackle problems. Seeking solutions proactively is your second nature.

Confidentiality: You can be trusted to maintain strict protocols for all confidential or sensitive information.

Analytical Expertise: Leverage your analytical skills to develop and analyze budgets and related justifications.

Tech-Savvy: Proficiency with Microsoft Office applications is essential, including MS Word, Excel, Access, PowerPoint, and Outlook.
