Must Haves:
  • Bachelors degree
  • 5+ years of meetings management and travel management experience
  • Travel industry booking tools experience
  • Financial reporting tools and meeting management technology experience
  • CMP or Project management experience
  • Cvent experience

Job Summary:
Seeking a Manager, Planning and Operations Services to provide support to the Meeting Planning, Travel, and Dining Services Department.
This role will be responsible for managing and delivering meeting venue sourcing and event planning services for a variety of events and meetings.  This role requires strong analytical skills to support department reporting and dashboard efforts.  This position contributes to several workstreams critical to our team’s success and will provide support with forecasting, budgeting, planning, execution, and reconciliation of a variety of projects.

The ideal candidate will have strong project management, negotiation, and vendor management skills and be able to work to priorities with little supervision. S/He must be highly organized, resourceful, flexible, have the ability to thrive in a fast-paced environment, while handling multiple projects with tight deadlines.

Essential Functions Required for Job

  • Lead, coordinate and execute event planning and logistic components of assigned internal and external events, including site recommendations, budgets, F&B, audio visual production, agenda development, travel arrangements, attendee communications, project management, on-site support, and post event reconciliation and reporting.  Serve as a consultative resource to stakeholders and department team members.  Contribute to strategy, planning, forecasting, budgeting, and reconciliation of events of varying size and scope.  Events include, but are not limited to: department meetings, sales meetings, training meetings and special events.
  • Support management of cafeteria & catering vendor relationship to ensure daily operations deliver a high degree of employee satisfaction.  Partner with vendor to create and manage annual budget and drive continuous improvement efforts. Implement new ideas, partnerships, and processes to ensure employee satisfaction and engagement is prioritized.
  • Contribute to department dashboard & reporting efforts.  Quality control source data and develop insightful metrics and reporting that enable leaders to make data-driven decisions to positively impact operations.
  • Contribute to Travel and Meeting Services budget process involving planning, development, forecasting and recommendations.
  • Identify creative solutions to find cost savings opportunities while meeting business needs and delivering high quality service
  • Contribute to development and implementation of departmental policies, practices, and procedures to foster team effectiveness and high-performing dynamics. 
  • Contribute to creation and management of department documentation, such as event specification guides, to ensure flawless execution of all elements.  Communicate changes effectively and efficiently to all internal and external stakeholders.
