Administrative Coordinator

Cambridge, MA
Pay Range: $22-$25/hr

Must Haves:
  • HS diploma
  • 2-3 years of related work experience
  • Strong written and verbal communication skills
  • Proficient with standard computer programs and software
Preferred: 
  • BA/BS Degree
  • Knowledge of Adobe InDesign, Microsoft Office Suite, and HTML
Job Summary/Description:

The Administrative Coordinator will provide administrative and customer support to the department through the responsibilities outlined below.

Serves as project manager for all mail appeals, this includes:
  • managing the day-to-day vendor relationship with external mail house
  • securing project estimates and confirming project timelines with internal and external stakeholders
  • maintaining production calendar
  • crafting design briefs for appeal projects
  • preparing vendor instructions and copy for mail house
  • sharing project assets with mail house
  • managing proofing process and communicating feedback
  • providing Managing Director’s final approval to print
Serves as project manager for all email appeals, this includes:
  • managing the day-to-day relationship with the Email Strategy team
  • maintaining production calendar and confirming timelines with internal stakeholders
  • managing proofing process and communicating feedback
  • providing Managing Director’s final approval to deploy
  • Provides ad hoc writing support
  • Coordinates with Development Assistant on project assets
  • Participates in project-based meetings, including Appeal Content Huddle, DRM Project Status, and select 1:1 meetings with Managing Director
Required Technical Skills/Knowledge:
  • Demonstrated ability to manage projects
  • Excellent organization and time management skills
  • Excellent interpersonal, written, verbal, and visual communication skills
  • Excellent computer skills
  • Collaborative, professional, results-oriented team player
  • Knowledge of Adobe InDesign, Microsoft Office Suite, and HTML highly preferred
