Administrative Coordinator
3-Month Contract 
Boston MA - Onsite 


Must Haves:
  •  2 to 3 years of related experience
  • Able to reconcile departmental PCard
Preferred:
  • Higher Education experience 
Job Description:
  • Greets visitors, answers general inquiries, and directs all other inquiries to core administrative leadership and/or point person as applicable.
  • Serve as the central point of contact for Administration on administrative, procurement, information technology, building operations, safety, and other departmental services.
  • Assists with general departmental support as needed, including calendaring, room booking, office organization, and travel arrangements for the Core Administration offices.
  • Assists with the coordination of departmental meetings, committee meetings, and/or trainings, including scheduling, registration, tracking participation, material reproduction, and material distribution, catering and vendor payment.
  • May provide coverage for A/V set up and recording.
  • Manage rental of poster boards and easel rentals.
  • Troubleshoot and serve as primary contact on computer, phone and other technological issues.
  • Troubleshoot and serve as primary contact with Building Operations on department related moves and other MCB Administration related needs and requests.
  • Manage inventory and supply for Administration.
  • Maintenance of departmental Office Copiers including monitoring usage, invoice payments, and communication with vendors.
  • Organize, maintain, and archive departmental files.
  • Events Support- Provides coverage for Events Coordinator and assists with event activities, including changes to the events calendar and posting of event listings online and throughout buildings.
  • Curriculum and Pedagogy Support -Provide support to teaching staff responsible for large lab courses by updating canvas sites, procurement and payments.
  • Community Area Support -Manage the BioLounge operations and other departmental common break areas.
  • Financial Support -Reconcile departmental PCard, Corporate Card and transactions for Sr. Staff and teaching staff.
  • Process B2Ppurchase orders, reimbursements, and vendor payments.
