Administrative Coordinator
3-month contract
Location: Cambridge, MA 

$25-32/hr


Must Haves:
  • HS Diploma
  • Ability to learn systems quickly
  • Customer service skills
  • Able to work on multiple tasks/projects at the same time
Preferred: 
  • Prior experience with financial processing systems, such as Concur and B2P preferred.
  • Event management experience preferred 
  • Higher Education industry experience
  • Bachelor's degree

Job Description:
Coordinates and has direct responsibility for a program, project, event or program. Creates and implements administrative systems to manage area of responsibility. Serves as main source of information, effectively responding to inquiries from potential customers, participants, academic collaborators. Prepares and maintains records, reports, budget and plans. May maintain a web page, website, or program materials. Requires 2 to 3 years of related experience, excellent interpersonal and communication skills. Ability to work independently with minimal supervision and direction. Able to plan, prioritize, and track work. Basic or better proficiency on common office software.

This position will support administrative, financial and residential operations at the Center, provide support for events and public programs, and assist Faculty Director and Associate Director with Center-related calendaring. This is a front desk position, responsible for greeting and providing service to Center foot traffic as well as responding to inquiries over email and phone.
  • Administrative and Financial responsibilities will include: processing reimbursements, invoices and payments for service providers, making travel and hotel arrangements, updating the Center's website, maintaining office and hospitality supplies, managing telephone and email communication.
  • Event support responsibilities will involve placing catering orders, liaising with vendors, assisting with setting up and staffing the events, distributing promo materials in advance of public programming and providing other support as needed.
  • Support for the residential program will involve: assisting with apartment turnover, tracking furnishings and coordinating replacements, assisting with billing of rents, coordinating card access to the CSWR buildings for residents, affiliates, guests and general public, calling in emergency repair requests between 9 and 5pm.
  • Occasional evening work will be required. Exceptional interpersonal and communication skills required. Strong writing and excellent proofreading skills required. Must be highly organized, detail oriented, and have the ability to work competently and efficiently in a multi-task environment. Must be technically savvy - possess competency using a variety of computer software and capacity to master new software.
