Administrative Coordinator III
Contract - 6 months
Hybrid - Foster City, CA
Pay Range: $29-$32/hr
Must Haves:
- 2-3 years of experience in Global Mobility or HR
- Proficient in all Microsoft Office Suite Programs, SharePoint, and have overall strong computer skills
- Excellent interpersonal skills, strong written and verbal communication skills
Preferred:
- Experience working on a cross-regional team
- US Immigration Knowledge
Job Summary/Description:
The ideal candidate will provide support to the global mobility team and will assist in ensuring seamless execution of tasks and assignments. This is a fast-paced environment and requires a professional who has initiative and strong judgment; in addition, they should be well-organized, self-directed, efficient, and adaptable with a strong work ethic. Independently provide advanced, diversified and confidential administrative support requiring a broad experience, skill and knowledge of organizational operations, policies and practices. This position supports the Global Mobility team.
Job Responsibilities:
- Act as liaison for the teams by responding to incoming and internal communications and determining or recommending appropriate action. Route materials/information to appropriate individuals/groups on the Global Mobility team
- Handles requests and queries appropriately and in a timely manner dealing with confidential and complex matters
- Coordinates the efficient office operations by maintaining and utilizing confidential and general shared folders and network drives.
- Open, reads, organizes, prioritizes and responds to incoming email, or directs it to appropriate area for response.
- Provides organizational support on multiple deliverables including, but not limited to, PowerPoint presentation editing and organization charts, Excel and OneNote for database management and reports
- Assist in documentation of processes, standards, procedures, and policies for programs and initiatives.
- Coordinates with external vendors to receive, track, distribute and process external invoices to appropriate approving authorities.
- Provide ad hoc analysis and reporting on Global Mobility
- Responsible for administrative tasks related to US immigration compliance
- Provide tier 1 support for global mobility questions
Skills/Experience:
- Minimum of 2 years experience in global mobility or HR
- Strong interpersonal and communication skills
- Ability to learn tasks quickly and become efficient in a short period of time.
- Ability to perform work with routine interruptions.
- Ability to handle confidential material and treat accordingly.
- Proactive and self-motivated.
- Ability to multitask with attention to detail.
- Positive attitude with a high level of professionalism.
- Excellent organization skills.
- Desire to continuously learn, with the initiative to take on evolving and more challenging tasks.
- Strong computer skills are required with proven proficiency in all MS Office Products, SharePoint, Internet navigation, email, and general computer use.
