Job Title: Administrative Assistant 2

Contract Duration: Tentative start date: Jan 22, 2025 through Jun 30, 2025 (Assignment extensions occur quarterly. The selected candidate has the potential to stay in the role through at least end of 2025.)

Pay: $29.25/hr
Onsite/Remote/Hybrid (if onsite/hybrid please give city/town name): Hybrid, At least 1 Day a week in office; Redmond, WA.

Must Haves: The role requires 1-2 overall years of experience in the field

Job Description:
Performs a variety of complex administrative functions for all levels of management including external business partners. Manages schedule(s), coordinates travel arrangements and processes business expenses. Coordinates meetings and events, department financial operations, personnel operations, and facility operations. Manages procurement of goods and services including computer equipment, office supplies, reference materials, and vendor relationships. Provides general office support. Serves as the department/group contact. Completes special projects as assigned.

Executive Business Administrator, Americas SMC

The Americas SMC (Small, Medium & Corporate) Sales Team has an immediate opening for a highly
motivated Executive Business Administrator supporting three Managers in SMC. This person will also
provide back up support to the Executive Assistant, provide team support and help with special
projects/events as needed. To be successful in this role, you should have strong organizational skills and
attention to detail, be self-motivated, a team player and have excellent communication and
interpersonal skills.

Responsibilities (include but not limited to)

Support of three managers with calendar, travel and expense reports as well as helping their direct
reports as needed. Providing larger team support (including morale events, new hire onboarding and off
boarding), procurement of goods and services including computer equipment, office supplies, reference
materials, asset tracking and facility requests. Exercise sound judgment, tact, diplomacy, integrity,
confidentiality, and professionalism in communicating information and working with all levels of
employees. Build and maintain good business relationships with executive level and counterpart
administrative staff both internally and externally.

Required Qualifications:

1-2 years of experience as a Business Administrator or similar discipline
Possess a working knowledge of MS products, Outlook, Excel, Word, PowerPoint, Visio and SharePoint
Experience with internal tools (Expense, Employee Central, etc.) is a plus

Be process-driven, extremely organized, and detail-oriented.
Have high integrity and be able to handle confidential information appropriately.
Able to deal with ambiguity, make independent decisions, be proactive and drive tasks to closure.
Capable of juggling multiple projects at once, actively track pending items and constantly re-prioritize
tasks based on changing business needs.
Have a high level of effective interpersonal skills, integrity, self-awareness and excellent customer
service skills.
Must possess a proven track record of excellent judgment, problem resolution, teamwork, negotiation,
budgeting and analytical skills, decision making skills and the ability to work under pressure.

Typical Day in the Role:
• Purpose of the Team: The purpose of this team is sales.
• Key projects: This role will contribute to calendar management & travel expense.
• Typical task breakdown and operating rhythm: The role will consist of assisting 3 managers, 5% meetings, 40% calendar work, 10% travel expenses, the rest email and teams chat communication.
