Job Title: Administrative Assistant 2
Contract Duration: Tentative start date: Nov 4, 2024 through Jun 30, 2025 (Assignment extensions occur quarterly. The selected candidate has the potential to stay in the role for up to 18 months.)
Pay: $32.00/hr

Must Haves: The role requires 3 overall years of experience in the field.

1. Minimum 3 years experience with Business acumen.
2. Minimum 2 years experience with Experience communicating with executives.

Preferred: The ideal resume would contain examples of being flexible and adaptable, with great organization skills as they’ll be managing multiple projects/requests at once. Advanced Excel experience is also a plus. Candidates that do not have experience with large teams will not be considered for this role. Candidates should have previously supported at least mid-sized teams.
Job Description:
Performs a variety of complex administrative functions for VP level leader including consistent communications with external business partners and customers. Manages schedule(s), supports coordination of travel arrangements and processes business expenses. Coordinates meetings and events for leader and their team, department financial management, personnel operations, and facility operations. Manages procurement of goods and services including computer equipment, office supplies, reference materials, and vendor relationships. Provides general office and team support onsite. Serves as the department/group contact in partnership with their peers. Completes special projects as assigned.
Comments: This role 100% needs calendar support and Enterprise experience is needed.
A few key notes to highlight:
• Vendor must be onsite 5 days a week (there is flexibility for one-off requests when unable to come in, if approved by Sponsor)
• This role is heavy calendar management for a VP as well as Team Support for their team & partners very closely with our admin community.
Top 5 software applications required for this role: Employee Central, MyDevice, Microsoft Office Suite, Teams, SharePoint.
Typical Day in the Role:
• Purpose of the Team: The purpose of this team supports a VP level leader within Azure databases.
• Key Projects: This role will provide direct/ administrative support to a VP level leader through calendar management, travel planning, expensing, strategic business support areas. They will also provide team support for this VPs org, in partnership with another Business Admin (team size is roughly 150). They will conduct consistent communication with team members over email and Teams chat, provide general onsite support, clear out or set up desks (suggested able to lift 20lbs.), ship equipment to new hires, learn and then teach new hires some internal tools/processes. There is a very low chance that they will be booking travel for a few people at most. They will assist with event planning, likely one event per month, or more as needed by the team.
• Typical task breakdown and operating rhythm: The role will consist of 40-50% emails – Communicate with team and other admins, coordinate support, procurement, or inventory requests, 20% space management, Remainder – miscellaneous task/request completion or assisting team members – all expected to be in-person, onsite.
